Project terms and conditions

These project terms and conditions outline the working process, responsibilities, timelines, payment requirements, revision structure, and service-specific conditions that apply to all projects developed by Peregryn Agency.

They are designed to ensure every project is managed clearly, professionally, and efficiently from the start. By confirming a project, submitting requirements, or making payment, the client agrees to the terms below and understands that these conditions form part of the project agreement.

A: General terms

1. Project requirements

To begin your project, you must complete the order requirements form in full. The information you provide will be used as the foundation for our work.

Please be thorough and accurate when submitting your requirements. If new requirements are added after the project has started, an additional hourly fee may apply to cover the necessary research, development, or implementation time required. Hourly rates range from €95 to €295, depending on the nature of the service.

2. Project timeline

Our development timelines are calibrated to uphold our quality standards, accommodate project complexity, and manage our production queue. We cannot fast-track confirmed projects unless a rush service has been agreed and quoted separately before the project begins.

Timelines may shift if client feedback, approvals, content, access, or required materials are delayed. Any pause in client communication will extend the final delivery date accordingly.

3. Client feedback & project approval

Following the delivery of each project phase, you have up to 10 working days to provide consolidated feedback, request revisions, or formally request an extension.
If no feedback or extension request is received within this window, the delivered phase will be considered completed and approved. 
Should feedback be provided after the 10-day review window without an approved extension, additional hourly fees will apply to reopen, review, or revise the work.

4. Project initiation

We cannot begin a project until full payment or the agreed initial installment has been received.

5. Payment policy

For extensive projects exceeding €10,000, payments may be split into two installments via PayPal or bank transfer, if agreed before the project begins. The second payment must be completed before the final delivery stage of the project.

6. Cancellations

Due to the intensive planning, research, and resource allocation required at the onset of our work, a project cannot be cancelled or partially refunded once the requirements have been submitted and work has begun. Full payment remains required for any project in progress. 

7. Client inactivity

If a client becomes inactive, does not respond, or does not provide the required feedback, materials, approvals, or access for more than 30 calendar days, the project may be placed on hold or considered completed based on the work already delivered.
To restart an inactive project, a reactivation fee or new quotation may be required, depending on the time elapsed and the amount of work needed to resume the project properly.

8. Ownership and final file delivery

Final ownership of approved deliverables is transferred only after full payment has been received. Final files, editable files, or implementation-ready assets will be delivered according to the project scope and only once the project has been fully paid.
The client may only register, trademark, publish, implement, reproduce, or use the final approved deliverables selected and delivered as part of the completed project.
All alternative proposals, unused concepts, drafts, creative directions, copy options, naming options, strategy options, marketing concepts, design explorations, isotypes, logotypes, icons, sketches, layouts, and any other non-selected deliverables remain the intellectual property of Peregryn Agency unless the client requests and pays for a separate quote to purchase the rights to those additional assets.
This applies to all service types in our service menu, including branding, naming, logo design, brand strategy, copywriting, content, marketing, website development, visual design, and any other creative or strategic work produced by the agency.

9. Third-party costs

Unless specifically itemised in your quotation, third-party costs are not included. This may include, but is not limited to, Wix subscriptions, hosting, domains, plugins, stock images, stock videos, fonts, software, external tools, paid integrations, email accounts, or advertising budgets.
The client is responsible for purchasing and maintaining all third-party services required for the project.

10. AI policy

We do not use AI to replace our core creative work, including strategy, briefing, writing, or content development. However, we may use AI as a support tool to expand creative capacity, improve efficiency, test ideas, and enhance production. We see AI as a tool that helps maximise our skills.

B: Specific services

I. Branding services

All branding services are subject to our general terms, along with the following specific conditions:

1. Brand naming and logo service

Domain names:
The digital landscape moves fast. We strongly advise purchasing your preferred domain immediately upon selection to prevent it from being registered by a third party. Once you purchase a domain name based on our deliverables, that specific phase of the project is considered complete. 
 

Trademarks:
Our naming research is preliminary and does not constitute legal advice. Formal trademark registration must be handled by a qualified intellectual property attorney. If you wish to utilise or trademark more than one name from our presented options, a secondary licensing fee will apply per additional name. 

2. Brand strategy and brand story

Business details:
Please provide detailed information and materials about your business so we can create a strong and accurate strategic foundation.
If you request additional competitor research beyond the competitors initially provided, an additional hourly fee of €295 may apply. We will notify you before beginning any additional research.

3. Brand development

Expected development times may vary depending on project scope, feedback speed, and the number of deliverables included.

  • Brand strategy: 14 to 21 business days

  • Brand voice, tone, and related elements: 5 to 10 business days

  • Brand naming: 14 to 21 business days

  • Logo design: 14 to 21 business days

  • Brand visual identity: 10 to 14 business days

  • Brand book: 7 to 14 business days

  • Full brand development: 30 to 45 business days

4. Meetings and changes

Each project includes a maximum of five video consultation meetings unless otherwise stated in your quotation. Additional meetings may be scheduled at a rate of €195 per call. To ensure productivity, all meeting requests must include a clear agenda. Calls requiring the presence of agency directors must be approved in advance. 

 

Note: If you request a fundamental shift in creative direction after the project is already underway, an additional hourly fee will apply to cover the new strategy, design, or implementation time required. 

5. Revisions

The number of changes included in your project will be listed in your quotation. If a service, deliverable, or revision is not listed in the quote, please request it separately so we can confirm whether it is included or provide an additional quotation.

II. Content services

All content services are subject to our general terms, along with the following specific conditions.

1. Expected development times

Development times can vary depending on the amount of content, complexity of the brief, and time required to receive and apply feedback.

  • Website content: timelines start from 7 working days, depending on the amount of content required.

  • Blog posts: timelines start from 5 working days, depending on the length and number of posts.

  • Press releases: timelines start from 5 working days, depending on the length and number of releases.

  • Content strategy: timelines usually range from 7 to 10 working days.

  • Email and social content: 3 to 5 working days for one email or post of up to 200 words. This may vary depending on the length and number of emails or posts.

2. Keyword research

Our keyword research is focused on a maximum of two countries per project to align with your target audience and search needs. Researching additional geographic markets requires a separate quotation. 

3. Website implementation

Our content writing services strictly cover the creation of the copy. This does not include logging into your CMS to upload text, configure meta descriptions, format URLs, or source images. Website implementation is a separate service and is charged at an hourly rate of €145.

4. Service scope

Content Strategy and Content Writing are distinct services. A strategy project does not yield written deliverables, and a writing project does not include foundational strategy unless both are explicitly bundled in your quotation. 

5. Revisions

The number of changes included in your project will be listed in your quotation. If something is not included, please request it before the project begins.

III. Wix Studio web development

All Wix Studio web development services are subject to our general and content terms, along with the following specific conditions.

1. Advanced functionality

Basic web development packages cover standard site architecture. Advanced functionalities, such as forms connected to external cloud databases, custom CRM portals, complex user automations, or third-party API integrations, fall outside standard development and must be scoped and quoted separately. 

2. SEO and marketing

Our web development packages ensure your site is built on a clean, modern, and structurally sound foundation. However, building a website and marketing a website are two different endeavors. Standard development does not include ongoing SEO marketing campaigns, keyword optimisation, or external traffic generation strategies. 
If you require your site to be aggressively positioned for search visibility, indexed competitively, or marketed to a specific audience, a dedicated SEO and marketing retainer must be scoped and quoted separately. 

3. Domain and email connection

Connecting your domain to Wix is included where applicable. However, the configuration of professional email accounts (via Wix, Google Workspace, or external hosts) is an IT administrative task and must be quoted separately. 

4. Google Search Console

Google Search Console setup, sitemap submission, and indexing support are not included unless specifically listed in the quotation. These services must be quoted separately.

5. Website revisions

A maximum of 20 distinct development changes are included during the review phase of a full website build unless otherwise stated. We advise clients to consolidate feedback carefully. Any development changes requested beyond this allowance will be billed at an hourly rate of €195. 

6. Final review

Before final delivery, the client is responsible for reviewing the website carefully across desktop and mobile. Once the final version is approved, any future adjustments, edits, fixes, or new requests will be treated as a new task and quoted separately.
These are Peregryn Agency’s general client terms and conditions, created and issued by the agency. They apply to all relevant projects and cannot be modified by the client unless a separate written agreement has been formally approved by Peregryn Agency.
